Merchant Registration Instructions

Please be sure to read through these instructions carefully. Regardless of how you received this year's registration package, (by mail or downloaded from this web site), these instructions are identical for both packages. This year's package includes all the necessary forms to register as a merchant (vendor) at the Great Western War as well as the instructions and forms to obtain a California Temporary Seller's Permit. Failure to complete or to return a required form will result in your registration being delayed. You will lose your position in the received queue and may find that your preferred Merchant Village booth site is not available.

REGISTRATION DEADLINE DATE:

Because of the popularity of this event, pre-registration is required. All completed Merchant registration packages and fees must be received (postmarked by) September 15th, 2000. Registration fees may be paid by Personal Check, Business Check, Money order or Cashier's Check. Make all checks payable to:the SCA Inc. - Kingdom of CAID. Do not post-date or forget to sign the check or your whole registration package will be returned to you.

Step 1) SELLER'S PERMIT

IMPORTANT: You are responsible for obtaining the California Seller's Permit. Your Seller's permit must be current and in good standing. This year we are asking that you supply us with your current Seller's or Temporary Seller's Permit number on the Merchant Registration Form. The Merchant Autocrat Team will be checking this number online, for validity prior to processing your registration package.

Complete instructions for completing the Application for Temporary Seller's Permit are included in the 4 page package. Questions about this process can be answered immediately by phoning the California BOE 800 Number Information Center at 1-800-400-7115. Representatives are available to assist you with permit registration Monday through Friday (except State holidays) from 8:00 A.M. - 5:00 P.M.

Step 2) MERCHANT REGISTRATION FORM

IMPORTANT: You are responsible for obtaining the California Seller's Permit. Your Seller's permit must be current and in good standing. This year we are asking that you supply us with your current Seller's or Temporary Seller's Permit number on the Merchant Registration Form. The Merchant Autocrat Team will be checking this number online, for validity prior to processing your registration package.

Please supply all requested information for the operator of the business and for all members of your merchant encampment. Please print clearly! There is room for up to 8 additional persons on the Merchant Registration Form. Please specify the quantities of each of the items you will require. Carry the total fees to the right column and add up your total fees. Please attach an approved method of payment to the registration from with a paper clip. If you have any special site, layout, access, utility or medical needs, please note these in the appropriate area.

Step 3) MERCHANT'S AGREEMENT CONTRACT

Please read this contract in it's entirety. Additionally, please the "GWW IV - Site Rules". After you have read both documents, please print your legal name, print your SCA name and then sign & date the contract. If you are a minor, a Parent or Legal Guardian must also print their legal name and then sign & date the contract. Note: All rules as published in the "GWW IV - Site Rules" and this contract regarding minors must be followed.

Step 4) MERCHANT'S ADVERTISING FORM

Online: Download the "Merchants Advertising Form" in PDF format by selecting the link with the same name. If you do not have the Adobe Reader installed on your computer, please download it for free from Adobe by selecting the Get Adobe Reader link.

If you wish to purchase advertising in one of the event booklets please complete the "Merchants Advertising Form". Include your "print ready" advertising in the appropriately sized advertising block. Your ad copy may use up to the outside borders of the blocks. Black and White line art will photocopy the best. If you want to use shades of gray, please limit your art work to 16 shades. Any supplied art outside of these parameters will be processed as well as we can, but the final quality can't be guaranteed. Please, no color art.

Step 5) MERCHANT VILLAGE MAP

Step 6) MERCHANT VILLAGE BOOTH REQUEST

Online: Download the "Merchants Village Booth Request" in PDF format by selecting the link with the same name. If you do not have the Adobe Reader installed on your computer, please download it for free from Adobe by selecting the Get Adobe Reader link.

All Merchants should complete a "Merchants Village Booth Request" form. You will need to consult the "Merchant Village Map" in order to complete this form. Please follow all the instructions on this from. Note: You should complete this form even if you have no location preference. Food Merchants, please let us locate you in the Food Court" as in past years.

Step 7) REGISTRATION PACKAGE MAILING CHECKLIST

Please verify the following completed forms and documents are in the package you are mailing:

1. MERCHANT REGISTRATION FORM
2. VALID SIGNED CHECK (paper-clipped to the Merchant Registration Form)
3. Signed and dated MERCHANT AGREEMENT FORM
4. Completed MERCHANT'S ADVERTISING FORM
5. Completed MERCHANT VILLAGE BOOTH REQUEST
6. Seal the package.
7. Address the package to:

8. Place sufficient postage on the envelope.
9. Put the package in a mail box!

Step 8) ON RECEIPT BY THE MERCHANT AUTOCRAT TEAM

Your package will be examined for completeness. If complete it will be assigned a sequence number corresponding to the order it was received. If you paid in a personal or business check, the package will be placed in "pending" status until your funds clear. If you paid with a Cashier's Check, cash (not recommended) or travelers check the package will be placed in "ready to process" status. Each weekend from now until the weekend of the war, the Merchant packages that are "ready to process"will:

1. Have the Seller's Permit number validated against the State of California Permit & Business License database.
2. Be assigned to a Booth Space (If requested and available);
3. Be added to the GWW Web site;
4. Have the Booth Space noted at reserved on the Merchant Village Map;
5. Be notified by mail with a confirmation card, with a unique GWW Merchant Confirmation Number!
(Important: Keep this card!);
6. Be added to the Merchant Handbook;
7. Have any advertising art forwarded to the Combat and Event booklet autocrats;
8. Have any special registration information forwarded to the Gate, RV and/or Special Needs Autocrats.

Problems encountered with you registration will be handled in one of two ways:

1. If your package is incomplete or your funds do not clear on the first deposit or your Seller's Permit information is invalid, we will return your package by mail immediately with instructions on how to resolve the problem. Note: you do not retain your "received by" priority;
2. If unforeseen issues arise, we will contact you via phone or e-mail to resolve them as quickly as possible.

Step 9) RENTAL INSTRUCTIONS

IMPORTANT: If you need to rent a pavilion or tables or chairs you will need your GWW Merchant Confirmation Number first! Get those packages in the mail NOW!

Online: Select the "Rental Instructions" link to display the equipment rental procedure for this year's Great Western War. Select the "Pavilion Rental Price Sheet" link to display the price of rented equipment for this year's Great Western War.

Please read the Rental Instructions for the complete equipment rental procedure. Note: Our event rental vendors will not rent you equipment without your valid GWW Merchant Confirmation Number.

Step 10) PLEASE VISIT THE WEB SITE OFTEN

This web site is where the most up-to-date information will be available for all Merchants who plan on attending the Great Western War. Visit the "Common Questions & Answers" page for answers to previously asked questions. Visit the "Merchant Promotion Details" page for late breaking information on the "Shopping War Point" promotion and other promotions at this year's Great Western War. And if time allows, visit the "Vendor Status" page using your GWW Merchant Confirmation Number check your status online.
